Requiring a facility/resource for a service

If a service absolutely needs a specific piece of equipment — a laser hair removal machine, a special perm machine, etc. — set it up like this.

  1. First, register that equipment as a resource on the Admin > Seats/Facilities page, and set "Concurrent capacity" to how many units you actually have (leave it at 1 if there's only one). If no resources have been registered yet, the option in the next step won't appear on the service-edit screen at all.
  2. Go to the Seats & Facilities section of the Service Edit panel.
  3. Select the equipment this service requires.
  4. From then on, once bookings already fill this equipment's concurrent capacity, the system automatically blocks new bookings for the time slot — even if the assigned staff member is free. Tip

Example: Say a skin clinic has only one laser hair removal machine, and two staff members, A and B, are both qualified to use it. First register "Laser Machine 1" as a resource under Admin > Seats/Facilities with concurrent capacity left at 1, then in the Service Edit screen for "Laser Hair Removal", set this machine as a required facility in the Seats & Facilities section. Once that's done, if a customer books laser hair removal with staff member A at 2pm, the 2pm laser slot disappears from the booking page even though staff member B is free at that time — because the machine itself is already booked to capacity. Meanwhile, other services that don't need this machine, such as a "Facial Massage" that staff member B performs, can still be booked normally at 2pm.
