Using the admin AI assistant
Last updated: 2026-10-19
Click the sparkle icon (✨) at the top right of the admin screen to open the AI assistant. It looks up how your shop is actually set up before answering, and finds the right help articles for you.
What you can ask
- Setup check: "Check my shop's setup" → it points out anything missed — the booking page being switched off, services with no staff assigned and so on — with a link straight to the screen that fixes it.
- Troubleshooting: "Why aren't customers getting booking reminders?" → it checks your real notification settings and credit balance, then explains the cause alongside the relevant help article.
- Who's working: "Who's working today?" → it shows the weekly roster and upcoming time off.
- Bookings and free times: "How many bookings tomorrow?", "Any time for a cut tomorrow?" → the day's bookings, and the start times a customer could actually pick on your booking page (within the next 7 days).
- When a message didn't go out: "Did any SMS fail yesterday?" → it checks the notification log for messages that failed or weren't sent and why (credits ran out, the customer opted out, no contact detail and so on). It can also show what your credits were spent on.
- Mini-site and staff invites: "What's missing on my mini-site?", "My new staff member never got the invite" → it lists empty sections and whether an invite link has expired.
- Plan comparison: "What's the difference between Starter and Growth?" → what each plan includes. For prices it links you to the subscription page.
- Booking statistics: "What's our no-show rate this month?", "Which day is busiest?", "Show me all bookings this week" → bookings for a period, no-show and cancellation rates (counting only bookings that have already happened), busiest days and times, and popular services.
- Revenue: "How much did we make this month?", "Is that up on last month?" → calculated the same way as the dashboard revenue card and compared with the previous period of the same length. Only completed bookings (after loyalty-point discounts) and deposits kept from no-shows or cancellations count as revenue.
- Customers: "When did Sarah last visit?", "How many regulars haven't been in for three months?", "Any customer birthdays this month?" → a customer's visit history and next booking, lapsed regulars and birthdays. Phone numbers and emails are only partly shown.
- Payments and settlement: "Did I miss settling any day this week?", "How much did we refund last week?" → money collected, refunds and deposits kept from no-shows shown separately, plus days the cash didn't balance and open days not settled yet.
- Loyalty points and reviews: "How much are customers' unused points worth?", "Any low-rated reviews lately?" → your points rules and outstanding points, your average rating and recent reviews.
- Price rules and resources: "Do we charge differently on weekends?", "How many basins are set up?" → time-based price rules and seats/rooms, alongside your service details.
- Drafts: "Write a description of our haircut service in Korean and English", "Draft a reply to that low-rated review" → a draft based on your real service details and the review itself. It's only a draft — the assistant never saves or posts anything, so check it and paste it in yourself.
- Waitlist and chatbot: "How many people are on the waitlist?", "How many chats did the chatbot have this week?" → waitlist status and the customer AI chatbot's conversation counts. Note that chatbot bookings are saved the same way as booking-page bookings, so they can't be counted separately.
- Feature questions: "Can I sell packages or memberships in Biseo?" → it tells you whether Biseo supports it and on which plan. If Biseo doesn't offer something, it says so plainly.
✨TipExample: Say your shop opened recently but no online bookings have come in. Ask the assistant "Why am I not getting bookings?". It first checks your shop and names the actual cause — for example "Your booking page is switched off" — then links you to Booking page settings. Turn the booking page on there and you're done.
What each account can see
The assistant only answers within the permissions of the account you're logged in with.
- The account created at sign-up: can ask about every setting, the whole team's roster, ratings per staff member and plan details.
- Invited staff accounts: only get what Settings > Permissions allows. For example, the STAFF role can by default see their own roster, their own bookings and booking stats, free times, customers' visit history, the service list and help articles; asking about revenue, payments and settlement, loyalty points, reviews, the plan, the notification log, other staff members, or customer notes and analytics gets a "your role doesn't have access" reply. Asking about something your plan doesn't include (for example loyalty points on Free) gets a different answer: it's not a permission issue, and the assistant tells you which plan includes it.
When it can't solve it, contact the Biseo team
If the answer isn't enough, or the assistant says it isn't sure, a Contact Biseo button appears (it's also always available at the bottom of the panel).
- Click it and the AI drafts a subject, category and summary of the conversation.
- Check it and edit anything you like.
- Click Send enquiry. The summary and the full transcript go to the Biseo team, and we reply to your account email.
Nothing is sent until you click that button.
Good to know
- The assistant only looks things up. It never changes your settings — it links you to the screen where you can.
- AI answers can be wrong. Double-check important settings on the linked screen.
- There's a daily limit on questions (per shop, the same on every plan). It's counted separately from your customer AI chatbot's replies.
- Conversations are kept for 90 days and then deleted. Conversations you send to the Biseo team are kept separately as part of that enquiry so we can handle it.
- You can tap 👍/👎 on any answer.
- 👍: when you later ask something similar, the assistant follows the approach of that answer. For example, if you 👍 the answer to "Why aren't reminders going out?", then asking "My SMS reminders aren't arriving" later gets checked in the same order. The facts (who's working, setting values and so on) are always looked up fresh, and answers from other shops are never used.
- 👎: the Biseo team reviews these to fill gaps in what the assistant can answer. If you need help right away, use the Contact Biseo button.
