What happens when a customer wants a fully-booked slot?

A customer opens your booking page on a Friday afternoon, picks the day they want, and finds nothing available. Most of the time, they don't wait around — they just book somewhere else, and you never find out you lost that booking at all.

Most booking software just stops there

A surprising number of salons still handle this the old way: someone calls, gets told "we're full," and the front desk staff jots the name on a sticky note in case a slot opens up. There's no system tracking it, no automatic follow-up, and it's entirely dependent on someone remembering to call back.

Where other platforms hand the problem back to you

Read the major platforms' own help documentation and a pattern shows up: there's a waitlist, but the friction lands on either your customer or your staff.

  • Boulevard requires a credit card on file before a customer can join the waitlist through the self-booking overlay. They aren't charged until the appointment happens, but the card is a condition of getting on the list at all — so a customer who just wanted to put their name down hits a barrier before they're even on it (help centre).
  • Phorest leaves both the entry and the match to staff. Clients go into the calendar's "Waiting" column, and someone has to notice an opening and manually move the right client onto the schedule (help centre). On a busy day, a slot nobody notices is a slot that stays empty.
  • Vagaro asks you to pick between four priority modes: staff manually accept everyone ("You Pick"), the highest-paying service gets first offer ("Money Maker"), strict first-come-first-served ("First in Line"), or a race where every waiting customer is notified at once ("Instant Book") (help centre). That's a decision the owner has to get right up front — and in the race mode, the customer who waited longest can lose the slot to whoever taps first.

There's also a set of questions the documentation tends to go quiet on. When a slot does free up: who gets offered it first, how long do they get, and what happens if they don't reply? Those three answers are what decide whether a cancellation turns back into revenue — and they're rarely spelled out anywhere.

  • One click for the customer — the notification link shows the offered time plus any other time that same staff member has free that day, and confirms immediately. No re-entering details, no separate login.
  • Both entry routes — staff can add someone from a phone call, and a customer can put their own name down from the public booking page when a date is full.

No customer gets turned away by a card form just to ask to be considered, and no opening depends on a staff member happening to notice it. On a fully-booked day, that's the difference between an enquiry you lost and revenue you kept.
